Before you begin
Create a clear accounting worksheet before discussing education funding or a reimbursement request.
Have these ready
- Gather an itemized bill, payment receipts, aid or benefit records, and any relevant written authorization.
- Use the same course or billing period for every amount. Do not count the same payment twice.
Preparation only. Creating, downloading, or printing this worksheet does not file, serve, or send anything, prove agency receipt, or extend a deadline. Keep a separate record of any actual submission.
- Arithmetic does not establish eligibility, prior authorization, a funding obligation, or a right to reimbursement.
- Use applied benefits rather than estimates, and account for refunds or revised charges. Reimbursement of money already paid differs from an unpaid balance.
- Confirm agency funding rules, comparable-benefit requirements, and any required approval before committing to expenses.
How to use it
Record the billed amount for the defined period.
Record your own payments separately from aid or benefits actually applied.
Compare the remainder with the institution's current balance and explain differences.
Identify the separate amount you want reviewed and the records supporting that request.
Fictional example
A course bill is $1,500. The learner paid $400 and a grant of $600 was applied, leaving $500 unpaid. The learner separately asks whether the $400 personal payment may be reimbursable; the $500 unpaid balance is not a reimbursement entitlement.
